Conference Room Request

Thank you for your interest in reserving the Meredith Village Savings Bank Winnipesaukee Conference Room (room 116). Please read the following information and fill out the request form below. Allow up to 10 business days for a response to your request.

The external party requesting use of the conference room must agree to provide a Certificate of Insurance (COI) for the date/time of the meeting(s), with LRMHC named as the indemnified.

Support for Your Meeting

IT/AV usage

  • Please consult the room’s binder for instructions on operating the various pieces of equipment that you will use.
  • When the program is complete, ensure that the equipment is properly turned off.
  • If you encounter any IT equipment problems during the meeting, the responsible individual must notify IT via help desk phone call or IT Help email as soon as the meeting ends.

Responsibilities Once the Meeting is Completed

The individual responsible for the meeting is also responsible for set-up and clean-up of the space. This includes, but is not limited to, the following:

  • Set the tables and chairs back up to standard layout
  • Clean all tables and other surfaces
  • If any spills or other accidents occurred that might require special attention by Maintenance, please contact Maintenance to make them aware of the issue.
  • If there has been any adjustment to the room sensor, ensure that it’s set back to neutral upon your departure.
  • If external caterers or other vendors are used for the meeting, ensure that they do an effective clean-up before their departure.
  • Ensure that the room is ready for occupation before the next meeting is scheduled to occur. Exit promptly when done.

There is no set fee for conference room usage. A donation for the use of the facility and associated utility charges is appreciated.
